Scheduling

Both your own events and guest events can already be entered in the booking calendar at the time of the enquiry with different statuses as an option, reservation (definitive booking) or even as a 2nd option. This allows you to optimise the tracking of the various stages of the enquiries received.

Event planning

Allocate all services ordered for an event and relevant customer agreements to a precise location and time in a production plan.

Document creation / documentation

You can use Word templates to create your standardised documents, such as rental contracts and stage management plans. These are created from RUBIN and stored in the programme for documentation.

Billing

All services provided are included in invoicing and can be charged and, if necessary, credited from the module. You can also create prepayment invoices and split invoices.

RUBIN Customer Relationship Management

Enhance your RUBIN modules with the RUBIN Customer Relationship Management module for comprehensive recording of your customers’ address data. Sales, marketing and project teams are supported in their acquisition and project-related activities. This RUBIN module can be used to store company contacts and contact persons as well as accounting information. For example, set address identifiers for a wide range of categorisation options for a business or contact person address for evaluations and selections and use them to send serial mailings to your customers.

Are you a trade fair organiser, do you organise trade fairs with your project teams and would you like to record your exhibitors’ stand registrations, create co-exhibitors and nomenclatures and send stand offers to exhibitors? Then the RUBIN Trade Fairs and Exhibitions module could also be of interest to you.

While you can book rooms (such as exhibition halls, outdoor areas, congress and conference rooms) in RUBIN Dates and Booking in your booking overview of the room management and record the time periods of the events taking place in your company (including set-up and dismantling times), RUBIN Trade Fairs and Exhibitions supports you in recording stand registrations. Both modules interlock with regard to your trade fair project planning and enable you to fully plan and structure your business processes from the request for an event, to the definitive booking and realisation of the event, the creation of a stand offer for your exhibitors and the acceptance of the stand offer for the realisation of the stand at the trade fair to be held as well as the respective invoicing.
